Data deletion instructions

• Clinic owners and staff— delete a single staff account, or the clinic’s entire account and all its data.
• Patients of a clinic that uses our software — delete your patient record and message history. You can write to us directly, or simply ask your clinic and they will raise the request for you.
• Factory and workshop clients of the machine monitoring service — delete your account, machine data and operator details.
• Anyone who has contacted us through this website — delete the enquiry and contact details you sent us.

1. Email contact@fwddeploy.co with the subject line “Data deletion request”.
2. Tell us who you are and what you want deleted: clinic staff — write from the email address registered with your clinic account and say whether you want one staff account or the whole clinic account deleted. Patients— include the phone number your clinic uses to message you on WhatsApp, and the clinic’s name. Factory clients — write from your registered email and name your company.
3. We verify your identity (see section 03) and confirm the scope of the request with you.
4. We delete the data within 30 days of verification and email you a confirmation when it is done.

No forms, no account-settings maze, no phone trees. If anything in your email is unclear, we reply and ask — we never silently close a request.

• Account holders: we reply to the email address registered on the account and ask you to confirm.
• Patients: we confirm the WhatsApp phone number you gave us against the clinic's records, or ask the clinic to confirm the request came from you.
• We never delete data on an unverified request — this protects your records from being deleted by someone pretending to be you.

• Your account and login credentials.
• Patient records tied to the request — contact details, appointment history and treatment notes.
• WhatsApp message history held in our systems (the clinic's shared inbox and message logs).
• Machine monitoring data tied to a factory client — machine status history, stop reasons, reject counts and operator details.
• Uploaded files and documents.
• Website enquiries and the contact details you sent with them.

Two narrow exceptions, both required by Indian law rather than chosen by us:

• Clinical records that a dental clinic must retain for a statutory period under Indian medical record-keeping rules. These are kept only for that period, only for that purpose, and then deleted.
• Invoices and tax records we must retain under Indian tax law (GST and income tax). These contain billing details, not your messages or treatment history.

Everything outside these two categories is deleted in full, including from encrypted backups within 90 days.

WhatsApp conversations exist in more than one place. When you request deletion, we delete our copy— the message history stored in our systems and the clinic’s shared inbox. We cannot delete:

• Messages on your own phone, in your own WhatsApp app — only you can delete those.
• Messages in the clinic's own WhatsApp Business app on their handset, where the clinic also uses one — the clinic controls that device.
• Data held by WhatsApp / Meta itself, which is governed by WhatsApp's own privacy policy and deletion tools.

In short: we delete everything we hold and control. For copies on your or the clinic’s own devices, delete the chat in the WhatsApp app.

• We acknowledge your request within 7 days.
• Deletion is completed within 30 days of verification.
• Residual copies in encrypted backups are purged within 90 days.
• You receive a written confirmation email once deletion is complete.
