Dental OS

Patients answered on WhatsApp. Every visit reminded. The front desk freed up.

Project Type
AI-native clinic operations system

Description

Dental OS is an AI-native workspace that runs a dental clinic’s day: appointments, patient records, treatment plans, billing and patient conversations, all connected.

Patients book through the clinic website and message on WhatsApp. An AI assistant answers routine questions using the clinic’s own information and drafts replies in a shared inbox, while clinical questions and complaints go straight to staff. Appointment reminders and recalls go out automatically, so follow-up no longer depends on someone remembering.

The outcome it is built for: less front-desk admin, faster replies to patients and more planned visits kept. The system is in pilot; results will be measured against the clinic’s baseline.

Deployment options

Available as a subscription or as a deployment on your infrastructure, subject to the agreed scope. Forward Deploy retains the software’s intellectual property; usage rights, fees, support and running costs are agreed in writing. Read the terms

Features

  1. A connected clinic calendar

Manage appointments, provider availability and chairs in the same workflow. Give patients a direct route to booking through the clinic website.

  2. Patient records & dental charting

Keep patient details, clinical notes, tooth-level findings and prescriptions together, with context available for the next visit.

  3. Treatment planning

Organise treatment plans and their individual items, track progress and record the care delivered.

  4. Billing & payments

Create invoices, record payments and connect checkout to the patient’s treatment workflow.

  5. AI-assisted WhatsApp inbox

Bring patient conversations into a shared inbox. Answer routine enquiries using clinic information and route clinical concerns or complaints to the team.

  6. Reminders & recalls

Connect appointment events to outbound messages and delivery tracking, helping the team follow up consistently with less manual chasing.

Architecture

A shared application connects clinic operations, patient booking and WhatsApp. PostgreSQL holds the records; messaging workflows handle reminders and replies. Configured AI assists with routine enquiries while staff handle escalations.

Expected Impact

Pilot expectations, not measured results. Savings and improvement figures will be added after comparison with the team’s baseline.

Less admin

More time for patients

Connected booking, records and reminders are expected to reduce repeated data entry and manual follow-up.

Pilot measure Track minutes spent on booking and follow-up per appointment before and during the pilot.

Faster replies

Shorter response times

AI-assisted answers to routine questions are expected to reduce the time patients wait and the number of enquiries staff need to handle manually.

Pilot measure Compare median first-response time and the share of conversations requiring staff intervention.

Better follow-up

Fewer missed opportunities

Appointment reminders and recalls are expected to make follow-up more consistent and help patients return for planned care.

Pilot measure Compare appointment attendance, recall-to-booking conversion and reminder delivery rates.

Less chasing

Clearer payment visibility

Connected invoices and payment records are expected to make outstanding balances easier to identify and reduce manual reconciliation.

Pilot measure Track reconciliation time and overdue balances. Value time saved using the clinic’s actual hourly staff cost.
